1. Pre-Installation Planning
1.1 Site Survey
- Assess the server room layout, heat load, and existing cooling solutions.
- Identify the best location for the indoor unit (evaporator) and outdoor unit (condenser).
- Ensure compliance with NFU Mutual’s building regulations and IT policies.
- Check access for refrigerant piping, drainage, and electrical supply.
1.2 Heat Load Calculation
- Determine the BTU (British Thermal Units) requirement based on:
- Number of servers and heat output.
- Room size and insulation.
- Other heat sources (lights, windows, people).
- Select an appropriately sized split air conditioning system.
1.3 Approval & Procurement
- Obtain approval from NFU Mutual’s Facilities Management and IT Infrastructure Teams.
- Ensure compliance with BS EN 378 and F-Gas regulations.
- Procure the split AC system from an approved supplier.
2. Installation Process
2.1 Preparation
- Schedule the installation with minimal disruption to IT operations.
- Notify relevant stakeholders and arrange backup cooling if necessary.
- Ensure power supply availability (dedicated circuit if required).
2.2 Installation of Indoor Unit (Evaporator)
- Mount the indoor unit at a location ensuring optimal air circulation.
- Secure the unit to a wall or ceiling bracket.
- Ensure easy access for maintenance and filter cleaning.
- Connect refrigerant piping, drain pipe, and power cable.
2.3 Installation of Outdoor Unit (Condenser)
- Position the outdoor unit in a well-ventilated area, away from obstructions.
- Mount on a concrete base or wall bracket with vibration dampers.
- Ensure compliance with NFU Mutual building and environmental policies.
- Connect refrigerant lines to the indoor unit.
2.4 Electrical & Refrigerant Connections
- Wire the system according to manufacturer specifications.
- Connect the refrigerant pipes (ensure proper insulation to prevent condensation).
- Conduct vacuum testing to remove air and moisture from the system.
- Charge with the correct refrigerant type as per F-Gas compliance.
2.5 Drainage System
- Ensure the condensate drain is properly routed and has a fall gradient.
- Install a condensate pump if required.
3. Testing & Commissioning
3.1 Initial Testing
- Power up the unit and verify functionality.
- Check for refrigerant leaks and secure fittings.
- Test air distribution and airflow rates.
3.2 Temperature & Performance Calibration
- Adjust settings to maintain an optimal temperature (18-24°C).
- Monitor humidity levels to prevent condensation.
- Confirm even air circulation to prevent hot spots.
3.3 Backup & Redundancy Checks
- Verify power backup (UPS/Generator support).
- Check for any fault alarms in the system.
- Ensure IT personnel can monitor the AC system remotely if required.
4. Post-Installation Procedures
4.1 Documentation & Handover
- Provide installation report, including:
- AC model and specifications.
- Refrigerant type and quantity.
- Wiring and piping layout.
- Warranty and service details.
- Update NFU Mutual’s asset management records.
4.2 Maintenance Schedule
- Establish a preventative maintenance plan (quarterly or bi-annual checks).
- Regular filter cleaning, refrigerant checks, and performance testing.
- Monitor temperature logs for any anomalies.
4.3 Compliance & Safety Checks
- Ensure F-Gas regulations compliance.
- Train IT & Facilities teams on emergency shut-down procedures.
- Schedule an annual inspection by a certified HVAC technician.
5. Risk Management & Contingency Plan
- Implement a redundant cooling system in case of AC failure.
- Install environmental monitoring sensors for real-time alerts.
- Maintain emergency contact details for HVAC support.
